  • An organization may receive no more than one donation of Cisco products per fiscal year (July 1 – June 30).
  • After the TechSoup checkout process is complete, the TechSoup Cisco customer service team might request additional information to verify that the organization matches the Cisco philanthropy guidelines. For example, an organization must be able to show that their focus is serving economically disadvantaged people.
  • Cisco orders may not include non-Cisco item requests. Any non-Cisco items must be ordered separately so they are not subject to the Cisco processing delay.

    • Religious organizations without a secular community designation — A secular designation is defined as an organization separate from the church or religious organization that provides services to people regardless of their religious beliefs and does not propagate a belief in a specific faith. • All Cisco products include five years of Cisco SMARTnet service and support on both hardware and software. After that coverage expires, donation recipients are strongly encouraged to renew their SMARTnet service and support agreement annually, for as long as they own the equipment or until that equipment is declared End Of Life (EOL) and no longer supported by Cisco. (PCMCIA and PCI cards alone do not require a SMARTnet contract.)
  • Grants that are donated within three months of a sale are not considered as a donation by the IRS; instead, the IRS considers these products an additional discount to the sale. Therefore, TechSoup Stock donations cannot be given to organizations that have purchased Cisco equipment within the last three months or that plan to purchase Cisco equipment within the next three months. TechSoup Stock donations done in conjunction with a Cisco sale are not allowed.
  • Requests may be partially fulfilled: Due to the nature of the network design, product availability, and fiscal year schedules, all product donations are subject to change or delay without notice. Cisco reserves the right to substitute functionally equivalent products for any request or order.

Microsoft - Restrictions for the Donated Computer Operating System Program

  • TechSoup Stock has recently updated the list of organization types to better reflect the major activities of various charitable and nonprofit organizations. See how the changes might affect your organization.
    • Donated product will be distributed under this program to qualifying organizations only, not to individuals.
    • Nonprofits with valid 501(c)(3) status are eligible to participate in the Microsoft Donated Computer Operating System (DCOS) Program.
    • Microsoft products are not available for distribution to educational institutions (including K-12 schools, colleges, universities, and trade schools), political organizations, religious organizations, healthcare networks and healthcare research organizations, or private foundations. Please consult our list of ineligible organizations for more information.
    • Each qualifying organization may request up to a total of 20 licenses within a fiscal year (July 1 - June 30).
    • Items may be requested throughout the year as long as organizations do not exceed the annual limit.
  • In order to participate, the organization's donated computers must have no Windows operating system already installed.
  • The donated computers must be used machines that have been refurbished, NOT "white boxes" (new machines without operating systems already installed).
  • The donated computers in need of operating systems must be designated for the organization's internal use only and may not be resold to businesses or to the public.
  • The Microsoft DCOS Program is a unique offering that is not part of or related to the Microsoft Software Donation Program and does not carry the same limits or restrictions.
  • Organizations that advocate, support, or practice discrimination based on age, ethnicity, gender, national origin, disability, race, size, religion, sexual orientation, or socioeconomic background are not eligible to participate in this program. Organizations must be willing and able to attest that they do not discriminate on any of these grounds in order to receive donations.

Microsoft - Restrictions for the Software Donation Program for Nonprofits and Public Libraries

  • Occasionally, TechSoup Stock updates the organization types used for organization registration to better reflect and support the giving priorities of our product donors and the major activities of various charitable and nonprofit organizations. See how the changes might affect your organization.
  • Donated product will be distributed under this program to qualifying organizations and libraries only, not to individuals.
  • Nonprofits and public libraries are eligible to participate in the Microsoft Software Donation Programs.
  • Nonprofit organizations:

To qualify, an organization must be a nonprofit with valid 501(c)(3) status.

  • Public libraries:

Public libraries must either have valid 501(c)(3) nonprofit status or be listed in the Institute of Museum and Library Services (IMLS) database.

  • Public libraries:

Qualified public libraries may request Microsoft software donations through this program for public access computers only (donated software may not be used for back-office or other administration purposes, unless the public computers are on a shared network which also hosts the personal computers of library staff). Participating libraries must also make their collection and basic services available to the population of their legal service area without charges to individual users (excluding incidental fees such as printing charges). If they so choose, libraries may impose charges on users outside the legal service area, and may provide products and services (beyond basic services), to the public at large, with or without individual charges.

  • Microsoft products are not available for distribution to educational institutions (including K-12 schools, colleges, universities, and trade schools), political organizations, religious organizations (except for those with a secular community designation), healthcare networks and healthcare research organizations, private foundations, or non-public libraries. Please consult our list of ineligible organizations for more information.
  • Each qualified nonprofit or public library may request up to six titles, and up to 50 licenses per title per two-year period.
  • Exceptions:

    • For server titles, one server license per title and up to 50 Client Access Licenses (CALs) may be requested (i.e. customers may not order two copies of the same server title).
    • Server licenses with accompanying CALS will — together — count as two separate titles towards the six-title limit.
    • Customers may order additional licenses of software titles that they already received through TechSoup Stock (as part of their previous order within the two-year ordering cycle). This is true even if the current title is an upgraded version of the original software. Such orders will not count against the 6-title limit. However, the total number of licenses requested for this title (between the two orders) may not exceed 50.
  • Each nonprofit or public library will be eligible to make one donation request for Microsoft products and licenses each year through TechSoup Stock (i.e. an organization that ordered 10/1/04 may place a new order 10/1/05). Though charities and nonprofits may order twice (once per year) within a two-year period, the combined total of products ordered in a two-year period may not exceed six titles and 50 user licenses per title (or one server license per server title). Once two years have passed since an organization's original order, these limits will be reset (e.g. a customer that placed an order on 10/1/04 may order six new titles and 50 licenses per title (or one license per server title) on 10/1/06).
  • Special Extra Donation:

    • In conjunction with the release of the Windows 7 operating system on October 22, 2009, nonprofits and public libraries might be able to place an extra donation request for Windows 7 or Windows Vista. This request can be placed only from October 22, 2009, through June 30, 2010. Read the details.
  • Donations will be fulfilled using Microsoft Open Licensing. This means that boxed (full packaged) products and paper licenses will not be shipped to organizations and libraries through this program. Instead, an e-mail will arrive with an authorization number for approved requests and directions to go to a Microsoft Web page to download licensing agreements. Software media (CDs) will be sent directly from Microsoft via air mail.
  • Each order must include a minimum of five "seats." For most products, each license counts as a single seat. However, products that support multiple devices or users count as five seats, and thus fulfill the five-seat requirement on their own. More information about the five-seat minimum is available in the Microsoft Program FAQ.
  • Exception — Special Extra Donation:

    • Requests for the special extra donation of Windows 7 or Windows Vista placed from October 22, 2009, through June 30, 2010, need not include five seats.
  • The donation granted through TechSoup Stock will enable nonprofits to fill additional needs for Microsoft products or licenses at specially discounted rates through Microsoft's Charity Reseller Channel, without being subject to normal charity order minimums. Public libraries without 501(c)(3) status are not eligible for this program benefit.
  • Microsoft may, at its sole discretion, provide "functionally equivalent" substitute product(s) for any request or order.
  • Microsoft products may not be transferred or resold. Additionally, Microsoft products may not be installed on computers that will be given to or sold to other organizations or individuals.
