BetterVoice Unified Communications is a hosted Voice over Internet Protocol (VoIP) service. It replaces a traditional phone system by transmitting incoming and outgoing phone calls over a high-speed Internet connection. Call routing and other services are provided by a software-based virtual private branch exchange (PBX) that is hosted by BetterWorld, rather than on-site PBX hardware.

Major Capabilities

  • Unified communications (UC): UC is an integrated system of multiple communication services like telephony, call control, voicemail, email, fax, and presence information (a user's availability status). You can access these services from any location with a phone, mobile phone, or any Internet-connected device, in the office or away from it.
  • Call routing: This feature ensures that important calls are not missed when users are not at their phones. You can set up the system to direct inbound calls through a list of numbers, either sequentially or simultaneously.

Obtaining This Product

Expect two emails. When TechSoup has approved your donation request, we will send a message to your organization email address with preliminary information about obtaining this product. Shortly after, BetterWorld will contact you to conduct a needs assessment. The results of this assessment will determine the specific package of services and equipment your organization will receive. Details and Service Costs

Hardware and Internet Connectivity Required

Organizations must have a high-speed Internet connection (DSL, cable, T1, or T3) with adequate bandwidth for the BetterWorld voice service; BetterWorld recommends a dedicated line for voice services for adequate call quality. If BetterWorld determines that you do not have adequate network bandwidth, you can negotiate discounted rates for BetterWorld's high-speed data services, including DSL, cable, T1, or T3.

Organizations must have sufficient networking hardware, such as a router or comparable equipment, to manage their telephony equipment. If BetterWorld determines that you do not have adequate network equipment, you can negotiate discounted rates for acquiring the required equipment through BetterWorld.

Discounted Rates

Seats include:

  • Monthly rate of $29.95 per seat for Polycom VVX 300 phones
  • Monthly rate of $34.95 per seat for Polycom VVX 310 phones
  • Monthly rate of $11.91 (not per seat) for account fees, enhanced 911 emergency services, and regulatory fees
  • Unlimited minutes of domestic U.S. and Canada outbound calling per seat
  • 40 calling features

In addition to getting access to discounted rates, organizations that request this product will receive a $12 rebate from BetterWorld for their first month of service. This rebate effectively waives the TechSoup admin fee.

Service Contract Required

Organizations must sign a minimum two-year contract with BetterWorld to receive discounted rates and donated equipment though this offer. See a sample contract with monthly pricing for 10 seats. Organizations that want to add seats at a later time may do so by contacting BetterWorld.

BetterWorld will require each organization to provide a credit card to bill a month in advance each month for its selected services.

Continuing Service After the Initial Period

BetterWorld automatically renews the contract on a monthly basis at the end of the initial period unless the organization provides 30 days' written notice as specified in the service contract. Rates and terms will be identical to those in the initial contract. Organizations that cancel their contracts will not be eligible for the discounted rates specified in this offer should they choose to obtain services from BetterWorld at a later time.

Additional Discounts for Certain California Organizations

If you are a public library, school, or community-based organization located in California, you may qualify for an additional 25 percent discount on BetterWorld telecommunications services through the California Teleconnect Fund Program. See this website for more information.

Rules, Eligibility and Restrictions

  • Quantity:
    • Organizations may request one BetterWorld audio conferencing services product within fiscal year (July 1 to June 30).
    • Organizations may request one BetterVoice Unified Communications product within the lifetime of the organization.
    • Organizations in Florida, Georgia, Louisiana, Mississippi, North Carolina, South Carolina, Texas, and Virginia may request the BetterVoice Unified Communications disaster relief product if they are not already receiving those services.
  • Budget: Organizations with annual operating budgets of any size are eligible for products in this program.
  • Nonprofits and libraries only: Products in this program are available only to qualifying nonprofits with 501(c)(3) designation and to public libraries. Public libraries must either have valid 501(c)(3) nonprofit status or be listed in the Institute of Museum and Library Services (IMLS) database.
  • Organization types: All organization types are eligible for products in this program.
  • Existing customers: Organizations that cancel their contracts will not be eligible for the discounted rates specified in the BetterWorld Audio Conferencing Services offer should they choose to obtain services from BetterWorld Telecom at a later time.
  • Territories: Organizations in U.S. territories may not request products in this program.
  • Terms of service: Organizations that request BetterWorld Telecom products must agree to any applicable terms of service.
  • Subscription termination: BetterWorld Telecom will discontinue the subscriptions of organizations that receive BetterWorld audio conferencing services and do not use the service for 12 consecutive months. Organizations must request the BetterWorld audio conferencing services product from TechSoup and pay the administrative fee again to reactivate a discontinued subscription.
  • BetterVoice Unified Communications: Organizations that request BetterVoice Unified Communications must
    • Agree to a minimum two-year service contract with BetterWorld Telecom for at least one seat
    • Not have contracts with other telecommunications services providers that would prevent them from exiting their current services
    • Provide BetterWorld Telecom with the most recent copies of their bills for all voice and data services so that BetterWorld Telecom may properly assess an organization's needs
    • Have adequate networking equipment and network bandwidth to support their telecommunications needs, or they must purchase additional equipment and bandwidth through BetterWorld Telecom. BetterWorld Telecom will determine if an organization has adequate equipment and bandwidth during its needs assessment
    • Have adequate wiring in their facilities and either install separate wiring for the BetterWorld Telecom phone system or set up a virtual LAN for phone system traffic
    • Be able to troubleshoot their own IT issues, such as those related to internal wiring and networking, and not directly related to the BetterWorld Telecom phone service
  • Anti-discrimination policy: Organizations that advocate, support, or practice discrimination based on age, ethnicity, gender, national origin, disability, race, size, religion, sexual orientation, or socioeconomic background are not eligible to participate in this program. Organizations must be willing and able to attest that they do not discriminate on any of these grounds in order to receive products in this program.
  • Case study: Recipient organizations must be willing and able to provide information to BetterWorld Telecom for the purposes of creating a case study or testimonial on this program.
  • Product distribution:
    • Products will be distributed under this program to qualifying organizations only, not to individuals.
    • Recipient organizations may not transfer or resell BetterWorld Telecom products.
